Management Assistant

As an Executive Management Assistant, your primary duty is to support three members of the Senior Leadership Team, namely the Operations Directors Claims, based in Madrid, and the Operations Director Communication, as well as the Director Sales and Client Management, both based in Antwerp.
  • Manage 3 Directors diaries to a high standard, including continuous shifting of schedules, including travel management and submission of monthly expense reports through corporate system
  • Prioritise deadlines and pertinent follow ups for the managers, including monitoring of e-mail traffic to identify critical matters
  • Manage and co-ordinate suppliers and all event logistics; including the welcoming of visitors, including pertinent agenda and accommodation arrangement.
  • Support the Senior Leadership Members on the preparation of presentations or similar documents, and ensure the adequate maintenance of those
  • Provide secretarial and administrative assistance, including comprehensive support as required for individual projects
  • Collect, consolidate and process information in managerial reporting
  • Prepares and files routine and advanced correspondence including letters, memoranda, reports and planning
  • Responsible for confidential and time sensitive material
  • Establish productive relationships with other assistants and executives
  • Provide additional coverage and support to CEO and other executives as needed
  • You have a Bachelor degree, or similar
  • You have a minimum of 3 years experience in a similar position or other relevant experience.
  • You have a thorough command of English and Dutch (both oral and written – every further European language is a plus
  • You can work cross platforms (including working a remote manager), as well as strong multi-tasking capabilities to manage multiple Directors in parallel
  • You have a talent for organization, and are able to structure your tasks in an independent manner.
  • You are proactive and flexible; Open to different and new ways of doing things; willing to modify one’s preferred way of doing things
  • You are results oriented: Prioritizes projects to meet required deadlines. Carefully manages several projects at once, focusing on the desired end result of one’s work.
  • You are adaptable to the changing nature of the business
  • You have strong administrative skills and work meticulously.
  • You have sense of urgency and affinity to detail.
  • You enjoy taking initiative and offer constructive proposals for improvements.
  • You deal with confidential information in a discrete manner.
