As a Polyvalent Administrative Assistant , you will have to:
- handle administrative queries from employees and managers + Assist the HR team (administrative tasks)
- answer phone calls and manage the general mailbox
- Ensure the maintenance of the client database
- organise and schedule appointments within an admin software
- Prepare the meetings for the managers and take the minutes
- Ensure proper contracting and registration for new and existing employees
- write and distribute emails or fax forms
- Assist in the preparation of scheduled reports
The office part of the job implies:
- Manage all office furnishing
- order office supplies and research new suppliers
- welcome customers and direct them to the appropriate room or manager
- check and manage all items related to safety and emergency
The successful Polyvalent Administrative Assistant , is/have:
- Excellent level of French and Dutch is mandatory, fluent level in English is required
- a proven experience as an administrative assistant or office management
- proficient in MS Office (Excel, word and PowerPoint)
- Excellent time management skills and the ability to prioritise tasks
- excellent written and verbal communication skills
