English Speaking Executive Assistant for an European Federation

The selected English Speaking Management Assistant will have the following responsibilities:

– Manage the agenda, organize meetings and prepare presentations for the meetings;

– Take minutes and make follow up on actions points of meetings;

– Take care of correspondences and proof reading, phone calls;

– Coordinate the logistics of external meetings and compile daily reports about the federation partnership and key stakeholders attending meetings;

– Assist the CEO and the Director of Partnership Development & Communications department with the organization of high-level events such Partner events, General Assembly, key stakeholders meetings;

– Organise travels, accommodations and logistics when required and prepare the necessary expenses forms and monthly timesheet;

– Archiving, filing electronically and in paper

The successful English Speaking Management Assistant will:

– Have at least 5 years experience in similar position, experience in European and international environment is an asset;

– Have experience in administrative, logistics and coordination tasks;

– Excellent knowledge of English (C2 level written and oral); German is an asset

– Good knowledge of MS office and other tools (Powerpoint, Word, Outlook, Internet);

– Have good planning and organisational skills, ability to work with deadlines;

– Stress resistant and service minded;

– Able to work autonomously;

– Have good relationship & communication skills;

– Be proactive, reliable, efficient and flexible;

– Be enthusiastic and positive.
